1. What is Accounting and Why It Matters? |

Accounting is often called the 'language of business'. It is the systematic process of identifying, recording, measuring, classifying, summarising, interpreting, and communicating financial information about an organisation to a variety of users. These users include business owners, managers, investors, creditors, and government agencies. The primary purpose of accounting is to provide information that is useful for making economic decisions. For example, a business owner needs to know whether the company is making a profit or a loss, what it owns and what it owes.

2. The Accounting Equation |

The accounting equation is the foundation of all accounting. It states that a business's resources (assets) are funded by either borrowing (liabilities) or the owner's investment and retained profits (equity). This relationship must always hold true, and you will see it reflected in every transaction you record. Assets are economic resources controlled by the entity, such as cash, inventory, equipment, and trade receivables. Liabilities are present obligations to transfer resources, such as bank loans and trade payables. Equity represents the owner's residual claim on the assets after deducting all liabilities.

Assets = Liabilities + Equity

Every business transaction can be analysed in terms of its effect on this equation, and the equality is maintained because each transaction has two aspects. For instance, if a business takes out a bank loan of £5,000, its assets (cash) increase by £5,000 and its liabilities (loan) also increase by £5,000. Similarly, if the owner contributes £2,000 in cash, assets and equity both increase. This dual effect is the basis for double-entry bookkeeping.

3. The Double-Entry System |

The double-entry system records every transaction in at least two accounts—one account is debited and another account is credited with an equal amount. This method ensures that the accounting equation always stays balanced, and it provides a check on the accuracy of the records. The key rule is: for every debit there must be an equal credit. Debit does not mean increase or decrease by itself; its effect depends on the type of account. For example, when a business buys a vehicle for cash, the Vehicle account (asset) is debited because assets increase with a debit, while the Cash account (asset) is credited because assets decrease with a credit.

To become confident with double-entry, you must learn to identify the two accounts involved in a transaction, determine the type of each account, and then apply the correct debit and credit rules. With practice, this process becomes almost automatic, allowing you to record transactions quickly and accurately.

4. Rules of Debit and Credit |

The rules of debit and credit form the heart of the double-entry system. Modern accounting categorises accounts into five main groups: assets, liabilities, equity, income, and expenses. Understanding how debits and credits affect each category is essential. The table below summarises the rules for increases and decreases.
