1. What is Accounting? |
Accounting is often called the 'language of business'. It is a systematic process of recording, classifying, summarising and interpreting financial transactions, and then communicating the results to the people who need them. The primary goal is to provide useful financial information to decision-makers such as owners, managers, investors, lenders and creditors.
It is important to separate book-keeping from accounting. Book-keeping is the routine clerical work of writing down transactions accurately, while accounting is the wider task of choosing what to record, summarising the data, interpreting the figures and giving advice based on them.
Without accounting, businesses would struggle to track income, expenses, assets and liabilities. Owners would not know whether they were making money, what they owed, or how much their business was really worth.
2. The Questions Accounting Answers |
Accounting exists because people need answers to practical questions. Three of the most important are: Is the business making a profit? How much does it owe? What is its total value? Every topic you study this year ultimately feeds into answering one of these questions.
Different users ask different questions. An owner wants to know about profit and the ability to withdraw cash. A manager wants to control costs and set selling prices. A bank wants to check whether a loan can be repaid. A supplier wants to know whether credit sales are safe. An investor wants to compare the return with other opportunities.
- Owner / 所有者: profit, drawings and the value of the business.
- Manager / 管理者: cost control, pricing and planning.
- Bank or lender / 银行或贷款人: ability to repay interest and capital.
- Government and tax authority / 政府与税务机关: correct taxable profit.
3. The Accounting Equation |
The accounting equation is the backbone of the whole subject. It states that everything a business owns is financed either by money owed to outsiders or by the owner's own stake in the business.
Assets = Liabilities + Capital
al = Assets − Liabilities, and Liabilities = Assets − Capital. If a business has assets of $50,000 and liabilities of $20,000, its capital is $30,000.
Profit and drawings also change capital. Profit increases capital and drawings reduce it, so the expanded equation shows how a period of trading affects the owner's stake.
Closing Capital = Opening Capital + Profit − Drawings
4. Key Terminology You Must Know | 必须掌握的核心术语
Examiners award marks for correct terminology, so learn these definitions precisely. An asset is something the business owns or is owed that has value. A liability is an amount the business owes to outsiders. Capital is the owner's investment in the business.
|---|---|
| Non-current asset 非流动资产 | Held for long-term use, e.g. machinery, premises. |
| Current asset 流动资产 | Held for less than a year, e.g. inventory, trade receivables, cash. |
| Current liability 流动负债 | Due within a year, e.g. trade payables, bank overdraft. |
| Revenue 收入 | Income earned from selling goods or services. |
| Expense 费用 | Cost incurred in running the business. |
| Drawings 提款 | Goods or cash taken by the owner for personal use. |
Other words you will meet constantly include purchases, sales, returns inwards, returns outwards, carriage inwards, carriage outwards, depreciation, net book value and provision for doubtful debts. Build a glossary and add to it every week.
5. Double Entry and the Ledger |
Every transaction has two effects, and both must be recorded. This is the principle of duality, and it is why the accounting equation always stays balanced. The account that receives value is debited; the account that gives value is credited.
A useful memory aid is DEAD CLIC: Debits increase Expenses, Assets and Drawings; Credits increase Liabilities, Income and Capital. Reducing any of these accounts means doing the opposite.
Transactions are written up in ledger accounts, often drawn as T-accounts. For example, buying inventory on credit debits Purchases and credits Trade Payables; paying a supplier by cheque debits Trade Payables and credits Bank.
6. Source Documents and Books of Prime Entry |
No entry should ever be made without evidence. Source documents are the paperwork that proves a transaction took place, and they are the starting point of the accounting cycle.
- Invoice 发票: records a credit sale or credit purchase.
- Credit note 贷项通知单: records goods returned or an overcharge.
- Debit note 借项通知单: sent when returning goods or correcting an undercharge.
- Receipt 收据: proof that money has been received.
- Cheque counterfoil 支票存根: a record of money paid out of the bank account.
- Paying-in slip 缴款单: evidence of money paid into the bank.
These documents are then summarised in the books of prime entry: the sales day book, purchases day book, returns day books, cash book, petty cash book and the journal. Posting from these books to the ledgers keeps the double entry system under control.
7. The Trial Balance and Errors |
A trial balance is a list of all ledger balances at a particular date, with debit balances in one column and credit balances in another. If the double entry has been done correctly, the two columns should agree.
However, an agreeing trial balance does not prove that everything is correct. Six types of error can still exist: error of omission, error of commission, error of principle, error of original entry, error of reversal and compensating errors.
When errors are found, they are corrected through the journal using a suspense account if the trial balance did not agree in the first place.
8. Financial Statements |
At the end of a period the business prepares an income statement to measure profit or loss, and a statement of financial position to show assets, liabilities and capital on the closing date.
Revenue − Cost of Sales = Gross Profit
Gross Profit − Expenses + Other Income = Profit for the Year
Cost of sales is usually calculated as opening inventory + purchases − closing inventory. The statement of financial position then follows the same logic as the accounting equation, listing non-current assets, current assets, current liabilities and non-current liabilities before arriving at capital.
9. Accounting Concepts and Conventions |
Accounts are prepared using agreed assumptions called concepts. The business entity concept treats the owner and the business as separate, which is why drawings are recorded rather than private spending being mixed with business costs.
- Going concern 持续经营: the business will continue for the foreseeable future.
- Accruals (matching) 权责发生制(配比): income and expenses are matched to the period they relate to.
- Prudence 谨慎性: do not overstate assets or profits.
- Consistency 一致性: use the same methods each period.
- Materiality 重要性: only items significant enough to affect decisions need separate disclosure.
- Money measurement 货币计量: only items that can be expressed in money are recorded.
Depreciation is a good illustration of matching and prudence working together: the cost of a non-current asset is spread over the years that benefit from using it.
10. Ratio Analysis and Interpretation |
Calculating figures is only half the job; interpreting them is what earns the highest marks. Ratios allow you to compare a business with itself over time or with a rival.
Gross Profit Margin = Gross Profit ÷ Revenue × 100
Net Profit Margin = Profit for the Year ÷ Revenue × 100
Current Ratio = Current Assets ÷ Current Liabilities
Rate of Inventory Turnover = Cost of Sales ÷ Average Inventory
A falling gross profit margin may mean higher purchase costs, more discount given to customers, or theft of inventory. A current ratio below 1 may signal a liquidity problem, while a very high ratio may suggest idle cash that is not working hard enough.
11. Your Eight-Week Summer Bridging Plan |
A steady routine beats a last-minute rush. Two hours a day, four days a week, is enough to cover the whole of this bridge course comfortably and still leave time for a holiday.
|---|---|
| 1 | What accounting is; users and terminology. |
| 2 | Accounting equation; assets, liabilities, capital. |
| 3 | Source documents and books of prime entry. |
| 4 | Double entry and ledger accounts. |
| 5 | Trial balance and correction of errors. |
| 6 | Income statement and statement of financial position. |
| 7 | Depreciation, adjustments and concepts. |
| 8 | Ratio analysis and past paper questions. |
Finish each week by writing a one-page summary in your own words, then attempt five past paper questions on that topic. Marking your own answers against the scheme is where most of the learning happens.
12. Common Mistakes and Exam Technique |
The most frequent errors at this level are forgetting to record both sides of a transaction, mixing up debits and credits, and adding private spending to business expenses. Another classic mistake is treating a loan as income rather than as a liability.
In the examination, always read the requirement before the data, show your workings, use headings and dates, and keep your figures in neat columns. Presentation marks are real marks.
Keep a running error log. Each time you lose a mark, write down in one sentence what went wrong and how to avoid it. Reviewing that log before a test is far more efficient than rereading the whole textbook.
Above all, remember that accounting is a skill, not a memory test. The more transactions you record and the more statements you prepare during the summer, the more natural the logic becomes.
