1. What is Accounting? |

Accounting is the systematic process of identifying, recording, measuring, and communicating financial information about a business. It allows owners, managers, and other stakeholders to understand how the business is performing. The main purpose is to provide clear and accurate financial information for decision-making.

Users of accounting information include internal users such as managers and employees, and external users such as investors, banks, and the tax authorities. Financial reports help these users answer questions like: Is the business profitable? Can it pay its debts?

2. The Accounting Equation |

The accounting equation is the foundation of double‑entry bookkeeping. It states that everything the business owns (assets) is financed by either what it owes (liabilities) or by the owner's investment (owner's equity). The equation must always balance.

Assets = Liabilities + Owner's Equity

For example, if a business owns a delivery van worth £10,000, it may have a bank loan of £6,000 (a liability) and the remaining £4,000 represents the owner's equity in that van.

3. Assets | 资产

Assets are resources controlled by a business that are expected to bring future economic benefits. They include anything of value that the business owns or is owed to it. Assets are classified as current or non-current.

Current assets are those that are expected to be turned into cash or used up within one year, such as cash at bank, accounts receivable (trade debtors), and inventory (stock). Non-current assets are long-term resources used in the business for more than one year, such as buildings, machinery, and vehicles.

4. Liabilities | 负债

Liabilities represent the amounts the business owes to outsiders. They are claims by creditors against the assets of the business. Like assets, liabilities are split into current and non-current.

Current liabilities are debts that must be repaid within one year, such as accounts payable (trade creditors), bank overdrafts, and short-term loans. Non-current liabilities are long-term debts that are repayable after more than one year, such as mortgages and long-term bank loans.

5. Owner's Equity |

Owner's equity (or capital) represents the owner's residual interest in the assets of the business after deducting all its liabilities. It can be increased by the owner investing more money into the business or by the business making a profit. It is reduced by the owner taking money out (drawings) or by making a loss.

Owner's Equity = Assets − Liabilities

This shows that the accounting equation can be rearranged to find the owner's equity. It highlights that the owner's claim is whatever remains after all other claims are satisfied.

6. Double-Entry System |

The double-entry system requires every business transaction to be recorded in at least two accounts. For each transaction, the total amount recorded on the debit (left) side must equal the total amount recorded on the credit (right) side. This keeps the accounting equation in balance.

Debits are increases in assets or expenses, and decreases in liabilities, equity, or income. Credits are increases in liabilities, equity, or income, and decreases in assets or expenses. Remember the simple rule: increases in assets and expenses are debits; increases in liabilities, capital and income are credits.

7. Recording Transactions in Ledger Accounts |

Transactions are first recorded in journals and then posted to ledger accounts. A simple T‑account format is used to visualise the debit and credit sides. The account name is written at the top, with debits on the left and credits on the right.

For example, if a business buys stationery for £50 cash, the stationery expense account is debited (increase in expense), and the cash account is credited (decrease in asset). In T‑accounts:

8. Balancing Accounts |

At the end of a period, each ledger account is balanced to determine the net balance. The larger side is totalled, and the difference (balance) is entered on the smaller side so both sides are equal. Then the balance is brought down on the opposite side for the next period.

If the debit side total is greater than the credit side, the account has a debit balance (e.g. an asset). If the credit side is greater, it has a credit balance (e.g. a liability). For example, a cash account with total debits of £2,000 and total credits of £1,500 has a debit balance of £500, representing the cash remaining.

9. The Trial Balance |

A trial balance is a list of all the ledger accounts and their balances at a particular date, usually the end of a financial period. The debit balances are listed in one column and the credit balances in another. The totals must be equal, confirming that the double‑entry records are arithmetically correct.

However, a balanced trial balance does not guarantee there are no errors. It cannot detect errors of omission, commission of equal amounts on both sides, or complete reversal of entries. It only checks the mathematical equality of debits and credits.

10. Introduction to Financial Statements |

The two main financial statements are the income statement (profit and loss account) and the statement of financial position (balance sheet). The income statement shows the business's performance over a period by matching revenue with expenses to calculate profit or loss.

Profit (or Loss) = Revenue − Expenses

The statement of financial position shows the business's financial position at a point in time, presenting assets, liabilities, and owner's equity. It is a snapshot of the accounting equation.

A simple balance sheet layout is shown below:

Non‑current assets £X Owner's Equity £X
Current assets £Y Non‑current liabilities £A
Current liabilities £B
Total assets £(X+Y) Total equity & liabilities £(X+Y)

The above table illustrates that total assets must equal total equity plus total liabilities.
