FAFSA opens every autumn and looks like nothing more than an online form, yet the part that trips families up is rarely the number of questions. It is the moment two adults in the same house describe the same year of income in two different ways, while the student guesses at the household size from memory. The data reaches the processor, fails to match, and the file either bounces back or disappears into manual review. This piece walks through the places where that disagreement usually starts, in the order the questions appear.
The Free Application for Federal Student Aid is administered by Federal Student Aid, an office inside the US Department of Education. It costs nothing to file, and the only official door is studentaid.gov, with the myStudentAid app for phones. What it unlocks sits at the federal level: Pell grants, Direct Loans and campus work placements. State agencies and colleges use the same record when they award their own money, so a single bad figure can ripple through several funding streams at once. The 2023 redesign removed a batch of questions and left the survivors carrying more weight. A shorter form is not a gentler one, and families who treat it as a five-minute job are the ones refiling in March.
The word contributor covers a narrower group than most families assume. It means a biological or adoptive parent, or a stepparent married to one of them, and nobody else. Grandparents who pay tuition, aunts who cover rent and older siblings with a job: their money counts as a gift rather than household income. When a parent has remarried, the stepparent's earnings and assets belong in the same picture, whether or not that adult intends to help pay. Applicants who leave a stepparent out usually find the gap months later, when the college asks for documents nobody submitted.
Two accounts are needed before anything can be signed: one for the student, one for each contributor. They cannot share an email address or a mobile number, and the matching runs on name, date of birth and Social Security number, so a single typo stalls the whole file. New accounts usually take a day or three to clear verification, which is why families who start on deadline day end up filing late. A parent without a Social Security number can still register, but the identity steps differ and take longer. Sorting this out a week early costs nothing and removes the most common last-day failure.
When parents are divorced or separated, the form follows one household only. The rule is the parent who provided more financial support over the previous twelve months; if the two are level, it is the parent the student lived with for more of that period. If that parent has remarried, the stepparent joins the application as a contributor. The other parent stays off the form entirely and does not sign anything, which is a rule rather than an omission. Adding both incomes is the mistake that quietly prices a student out of need-based aid.
Income on the FAFSA comes from two years back, a convention the US Department of Education calls prior-prior year. A student applying for 2027-28 reports the tax record from 2025. The gap exists so families can file once their return is finished instead of waiting for a fresh one. Anyone who changed jobs, lost work or started a business in the past year will see figures that feel out of date, and the form offers no place to correct them at submission. A later review with the college is the proper route, and only after the original numbers have been reported honestly.
Every contributor has to give consent for the IRS data to be pulled in directly. That consent replaced the older retrieval tool from the 2024-25 cycle onward, and it is shorter but unavoidable. If one contributor declines, the student receives no federal aid at all, not a reduced amount. Consent applies to a single application and must be given again next year. Parents sometimes read the clause as optional because it sits at the end of a long page, and that reading costs the student the whole package.
The Student Aid Index replaced the Expected Family Contribution in 2024-25, and its name misleads people in both directions. It is not an invoice and not a figure the college will simply charge. Each financial aid office plugs it into its own cost of attendance and its own aid budget, so the same index produces very different offers at a private college and a state campus. A negative index signals high need rather than money owed to the family. Chasing a low number by shading the truth tends to end with verification, a revised offer and a lost term.
The asset section asks about savings, investments and business net worth, and it leaves out two things families often report by reflex: the home they live in and retirement accounts. Balances in a 401k or an IRA do not belong on the form, and adding them raises the index for no reason. A farm, a small business or self-employment now has to be valued rather than waved through. A 529 plan held by a parent is reported as a parent asset, while one held by a grandparent follows different rules. Use the latest statement instead of memory when the numbers go in.
Household size is no longer a field the family can edit. The system takes it from the tax return, so the count follows whoever was claimed as a dependent that year. A new baby, an elderly relative who moved in, or a divorce finalised since then leaves the number out of step with daily life. The fix runs through the college rather than the form: the aid office can review the difference once the application is in. Manually adding people is the move that flags a file, because the figure stops matching the IRS record.
There are three deadlines, and they do not agree with each other. The federal one falls on 30 June at the end of the academic year, which sounds generous. State money is often handed out until the budget runs dry, so the practical date can arrive in early spring or even January. Colleges set priority dates that are earlier still, sometimes in December, for anyone who wants to be considered for their own scholarships. The state list on studentaid.gov and each aid office page are the two places worth checking, and neither should be trusted to memory.
A submitted form can still be corrected. A wrong income figure, a missing school code, a signature that never happened: all of it can be fixed on studentaid.gov and sent again. Colleges receive the updated version, usually within days, though a file already under review may take a fortnight to settle and the award letter can slip. When income has genuinely changed through redundancy, illness or a death in the family, a professional judgment request with evidence attached is the recognised path, decided by each college on its own terms. Most families assume the door closes at submission, and it does not.
Some situations do not fit any box on the form. A parent losing a job, a main earner falling ill, a sudden custody arrangement: none of these has a line to fill. Calling the financial aid office directly and asking what evidence they want is faster than improvising an answer. International families, mixed-status households and tangled stepparent arrangements tend to stall in verification, so early contact saves weeks. Waiting for the admission letter before raising money is the pattern that ends with an empty scholarship pool.
