A parents' evening compresses a whole academic year into ten minutes or so. Teachers see dozens of families that evening while each parent holds only a few pages about one child, so the two sides never start with the same information. What follows is how the written reporting system in England actually works, what the different grade labels mean, and which questions produce usable answers. IB schools and independent schools run to their own calendars, so check the school handbook and IBO requirements for the local version.
In England the headteacher must send parents a written report before the end of the summer term every year, and the 2005 Pupil Information Regulations set out what it has to contain: achievements, general progress and the attendance record, together with how a parent can arrange a discussion with the teacher. The period covered starts the day after the previous report, and reports for Years 10 and 11 must also show grades already achieved in GCSE subjects. Read it as the one continuous written record you can compare across years rather than an administrative formality.
Reports usually carry two measures, and mixing them up leads to the wrong conversation; attainment is where a student stands now, while progress is the distance travelled from the starting point. Middling attainment with strong progress means the teaching is landing; good attainment with flat progress often reflects earlier advantage rather than current effort. Find the baseline first, whether that is an entry assessment or last year's summer result, then look at the size of the gap.
A predicted grade is a teacher's judgement of where a student will end up on current evidence; a target grade is a reference point the school sets. Predicted grades move when new evidence arrives, and one weak mock can shift them, which matters because they feed sixth-form and university applications. Ask which assessments and coursework were used to build the judgement, and whether practical or oral work was included; IB subjects are scored from 1 to 7 under IBO rules, and those numbers do not convert cleanly into A* to E.
Three documents make the appointment worth attending: the latest written report, this term's assessment data and the exercise book with its corrected errors. The report gives the school's formal judgement, the data gives a timeline and the book shows the process behind both, so discrepancies between them are where the useful questions live. Slots are often five to ten minutes, and arriving with three written questions in priority order changes what you leave with.
"How is my child doing" is too wide to answer usefully, and teachers fall back on reassurance. Narrower questions get usable replies: which topic area lost the most marks this term, whether the cause was conceptual or misreading, and what to fix before the next assessment. Ask about behaviour you cannot see at home as well, such as whether they ask questions in class, what role they take in group work and whether homework arrives on time; teachers notice these things long before they show up in a grade.
Subject teachers hold the evidence for one course, while the form tutor sees the whole timetable along with attendance and behaviour records; take topic-level and exam-technique questions to the subject teacher, and take option combinations, workload and clashes between subjects to the tutor. Where slots are booked online, read the list first and save the most important question for the person with the most information. On cross-curricular issues the tutor usually knows who to ask.
Summer-term reports go out before term ends, while public exam results arrive later. The gov.uk guide for headteachers requires schools to pass results to parents within 15 days of receiving them, which is why a July predicted grade can look wrong in August; that is a timing gap rather than a misjudgement. Parents in England can also request the pupil's educational record in writing, and it must be made available within 15 school days, with copies charged no more than the cost of supply.
Email handles specific issues better than a queue, because it leaves a record both sides can return to. Put the pupil's name, class and subject in the subject line, then state facts rather than judgements: which assessment, which questions, what the child says at home. Close with one clear request and a window when you can be reached. Long emotional emails tend to receive a short, defensive reply.
Take the complaint seriously without turning it into an accusation; ask for the specific lesson, the teacher's actual words and what happened before and after, then check what can be observed: whether similar work is marked to the same standard. Framing the question as "he understood it this way, what actually happened" gets a straighter answer than asking whether the teacher has it in for him. Persistent humiliation or discrimination belongs in the school's formal complaints route, which runs through the tutor, the head of year and the governors.
When a pupil falls behind in one subject over time, the first response in England is a change in the classroom rather than a label. The SEND Code of Practice 2015 describes a four-part cycle of assess, plan, do and review, known as SEN support, which needs no diagnosis to begin. Only if that proves insufficient does an EHC needs assessment follow, and any resulting plan must be reviewed by the local authority at least every 12 months; parents can supply evidence schools cannot collect, such as how long homework really takes or where reading breaks down.
Most of the value disappears if the meeting ends at the door. Write three lines the same evening: the current problem, the action for the next fortnight and when it will be checked. Turn one of them into a fixed routine at home, such as twenty minutes of error review twice a week, and look at it again two weeks later instead of waiting for the next appointment; if a teacher promised materials or extra support, confirm it with a short email after a week.
Four habits waste the appointment: turning it into a complaint hearing, contacting school only when something has gone wrong, spreading five subjects across one slot, and rewriting the child's own choices as the teacher's fault. Teachers cooperate more readily with parents who describe facts and take on the home half of the work. You will never match the information held in the staff room, but precise questions and written-down promises close much of the gap.
