📚 What You Can Gain from a QS Education Fair: One-to-One Time with Admissions Officers | QS
Every autumn and spring, QS brings hundreds of university representatives to major cities across Asia, the Middle East, Europe and North America. Most students leave with a tote bag full of brochures and almost nothing else. The students who leave with something genuinely valuable are the ones who treat the fair as a structured research project, not a shopping trip. The single highest-value activity on the floor is the pre-booked one-to-one meeting with an admissions officer, and this guide explains exactly how to prepare for it, what to ask, how to read the answers, and what to do in the 48 hours afterwards.
1. What a QS Education Fair Really Is | QS
QS (Quacquarelli Symonds) runs a family of recruitment events: the QS World Grad School Tour for master's and doctoral study, the QS World University Tour for undergraduate entry, the QS MBA Tour, and QS Discover fairs, plus virtual versions of the same. They are recruitment events funded by participating universities. The institution on the other side of the table is there to build an applicant pipeline, not to issue decisions.
A typical fair has four layers: a registration desk and app check-in, a seminar stage with short talks, an exhibition hall of booths, and a separate area for pre-booked one-to-one meetings. In some markets the one-to-one component is branded QS Connect. Slots are usually 15 to 30 minutes and are often fully booked within days of the fair being announced.
Understanding this structure matters because it tells you where the real value sits. The booths give you volume and speed; the one-to-one meetings give you depth, feedback and a human contact who may later recognise your name in the applicant pool.
2. What You Can Realistically Take Away |
Set honest expectations. You will not walk out with an offer letter, a guaranteed scholarship, or a reliable estimate of your chances. You can, however, walk out with six concrete assets if you work for them.
Information that is not yet on the website: new program launches, changed entry requirements, upcoming funding rounds, revised deadlines.
Feedback on your specific profile, including which element is furthest from the typical admitted student.
A named contact with an email address, ideally the officer responsible for your region.
Concrete funding mechanics: application fee waivers, automatic merit consideration, nomination-based awards.
A realistic reading of your competitiveness relative to other students at the same fair.
A written next step: exactly what to send, to whom, and by when.
| Asset | 资产 | Reality check | 现实情况 | How to secure it | 如何拿到 |
| Offer | 录取 | Almost never issued at a fair | 展会上几乎不会当场发 | Ask about the decision timeline instead | 改问审核与放榜时间线 |
| Scholarship | 奖学金 | Rarely guaranteed, often separate application | 极少保证,通常需单独申请 | Ask for the award name, value and deadline | 问清奖项名称、金额与截止日 |
| Fee waiver | 申请费减免 | Common at graduate fairs | 硕士类展会较常见 | Ask directly: "Is there a waiver code for this event?" |
| Profile feedback | 背景反馈 | Available if you ask precisely | 问得精准就能得到 | Ask which single element is weakest | 问哪一项是最大短板 |
| Named contact | 具体联系人 | Often a business card only | 通常只是一张名片 | Confirm they handle your region | 确认对方是否负责你所在地区 |
3. Before You Go: Build Your Personal Dossier |
A one-to-one meeting is a compressed interview. Everything an interviewer would normally read over ten minutes must be visible to the officer in the first minute. That means a physical, organised dossier rather than a phone gallery of screenshots.
A one to two page CV, reverse chronological, with quantified achievements and dates.
A transcript copy and, if available, a grade conversion note for the target country.
English test evidence: IELTS, TOEFL or PTE score report, plus the date of any retake.
A portfolio, research abstract, publication list or project one-pager for practice-based and research degrees.
Three to five written questions per target university, ranked by importance.
A notebook, pen, printed name cards, and a folder that keeps everything dry and ordered.
Then research each university properly before the fair. Read the specific program page, note its entry requirements, its deadlines and two distinctive features, and write down one question that could only be answered by a human. You should be able to say something true and specific about each institution's program within fifteen seconds of walking up to the table.
4. The 60-Second Self-Introduction | 60
Most students open with "Hello, can you tell me about your university?" That wastes thirty of your thirty minutes. Use a fixed structure instead, so the officer has everything they need to give you a useful answer.
rogram + Academic Result + Two Proof Points + Target Program & Intake + One Specific Reason
Here is a worked example for a master's applicant. "My name is Chen Yu. I am in the final year of a BSc in Economics at a Chinese university, with a weighted average of 84 percent, which converts to roughly a UK upper second. I have done a data analytics internship at a fintech company and led a student research project on consumer credit risk. I am applying for the MSc Finance intake in September next year, and I am specifically interested in your program because of the optional module in credit modelling."
The same structure works for undergraduate applicants, with predicted grades, subject choices and one extracurricular proof point instead of a research project. In a noisy hall, keep a short version ready as well: two sentences, name and target, so you can open a queue conversation without holding up the line.
5. Asking Questions That Reveal Real Information |
The rule is simple: never ask a question whose answer is on the program webpage. Ask about process, thresholds, evidence weighting, timelines and funding mechanics. These are the areas where the website is vague and the officer is knowledgeable.
| Selection | 筛选 | What are my chances? | Among last year's admitted students, what was the typical academic range? |
| Requirements | 要求 | Do I meet the requirements? | Which specific requirement is my profile currently furthest from? |
| Funding | 资助 | Do you have scholarships? | Is merit funding automatic or by separate application, and what is the funding deadline? |
| Timeline | 时间线 | When will I hear back? | For a complete application submitted in round two, what is the typical decision window? |
| Qualification | 学历 | Do you accept A-Levels? | Do you accept predicted A-Level grades, and what is the typical conditional offer for this program? |
Two further questions are worth memorising because they consistently produce usable answers. First: "If I apply in this round, what would make my file stronger rather than just complete?" Second: "Is there a named contact for applicants from my region, and may I use your name when I write?"
6. Reading Signals and Subtext |
Admissions officers are trained to be encouraging and legally cautious at the same time. Learn the standard phrases and what they usually mean.
"You would be competitive" means your academic profile is in range, nothing more. It is not a prediction.
"We encourage you to apply" means the officer sees no obvious blocker.
"You should speak to my colleague" means your case is outside their remit, often a good sign for a specialised program.
"Funding is very competitive" is a warning to have a financial plan that does not depend on the award.
"The earlier round is advisable" usually means rolling review and diminishing places.
The most useful move is to convert vague encouragement into a specific statement. Try this: "Thank you. To be practical, if you had to name the one element of my profile that is least like your typical admitted student, what would it be?" Officers answer this question surprisingly often, and the answer is worth more than ten brochures.
Finally, treat a business card as a data point, not a trophy. Note the person's name, role, region and the exact thing they promised to send, then record it before you leave the hall.
7. Documents, Evidence and Portfolios |
Show, do not tell. If you claim strong quantitative ability, put a project summary in front of the officer. If you claim design skill, open the portfolio. Evidence converts a polite conversation into a remembered candidate.
Coursework applicants: transcript, ranking statement, two strongest module descriptions with grades.
Research applicants: a one-page abstract, supervisor names you have read, and a proposed topic in one sentence.
MBA applicants: a one-page career narrative with pre- and post-MBA goals and measurable impact.
Creative applicants: a tablet portfolio with ten to fifteen best pieces, labelled with date, medium and role.
Keep translations and certified copies ready where required, and remember that requirements differ by country and institution. Never leave originals with a representative; offer a copy, or send a digital file later. Verify every document requirement on the official university page before you submit, because policies change between cycles.
8. Handling Difficult Answers |
Some answers will sting. The skill is to respond calmly, extract information, and leave the door open. Never argue and never negotiate on the spot.
