📚 Coordinating Written Exam Window Clashes with School Tests |
Every year, thousands of candidates discover that the official written exam window for their board - Cambridge International, Pearson Edexcel, Oxford AQA or the IB - overlaps with a school-controlled assessment: a mock series, an end-of-term paper, a coursework deadline or an internal practical. The overlap is rarely a disaster, but it is almost always stressful, and it is almost always solvable. What makes the difference is knowing which clash is real, which rules govern it, and who has the authority to change what.
1. What Actually Counts as a Clash |
A genuine clash has three features: two assessed events demand your physical presence at overlapping or adjacent times, at least one is fixed by an external authority, and the consequences of missing either are material. Two events that fall in the same week are not a clash - they are a scheduling problem. Two events that fall in the same 90-minute slot are a clash.
Before you escalate anything, classify the overlap. Most students panic at "same week" and stay silent at "same morning", which is exactly backwards.
- A hard clash: the same session or a 15-minute turnaround.
- A soft clash: same day, different sessions, with adequate rest between.
- A pressure clash: no time clash, but two heavy deadlines within 48 hours.
- An administrative clash: a coursework or portfolio deadline you control versus an exam you do not.
2. How Exam Windows Are Built |
External timetables are constructed to eliminate clashes between papers from the same board. Cambridge International's May/June series typically runs from late April to mid-June, with a smaller October/November series; Pearson Edexcel International A Level adds a January series. Because the boards publish timetables roughly a year ahead, your external dates are known long before your school builds its internal calendar.
The practical consequence is simple and slightly uncomfortable: if there is a clash, the school's internal calendar is almost always the thing that can move. That is not a reason to be aggressive - it is a reason to be early and specific.
Note also that boards reserve contingency or reserve sessions for exceptional circumstances. These exist for emergencies, not for convenience, and they are authorised by the exams officer, never by the candidate.
3. A Taxonomy of Conflict Types |
Different conflicts need different remedies. Using the same remedy for everything wastes goodwill and fixes nothing.
| Conflict type | Typical example | Realistic remedy |
| Hard clash / 硬冲突 | Board Paper 2 and school mock at 09:00 | Reschedule the internal paper |
| Tight turnaround / 周转过紧 | Board paper ends 11:00, internal starts 11:15 | Move internal to another session |
| Deadline collision / 截止日相撞 | EPQ submission due the day before a board paper | Negotiate an internal deadline shift |
| Volume overload / 负荷过载 | Three papers across 24 hours | Supervised rest, managed by the centre |
4. Step One: Build a Master Calendar |
You cannot negotiate what you cannot show. Build a single spreadsheet containing every fixed external date, every internal assessment date, and every submission deadline. Colour-code by source of authority: external dates in red, school dates in amber, self-imposed deadlines in green.
Then annotate each row with three facts: the time, the duration, and the location. Ambiguity about location is one of the most common hidden causes of what looks like a timetable clash.
The final output should fit on one screen. If it does not fit, you are listing detail, not decisions.
5. Priority Rules That Actually Hold |
The default hierarchy is straightforward: externally set, externally marked assessments outrank internally set assessments. A board paper cannot be moved by your head of year; a school mock can be moved by almost anyone in the academic office.
But there is one important exception. Internal assessments that feed predicted grades, UCAS references or conditional offer decisions carry real external weight even though they are internally set. Do not casually sacrifice a mock that determines your predicted grade to protect a revision session.
When you genuinely have to choose, use a visible weighting rather than instinct:
Priority = (0.5 × Exam weight) + (0.3 × Time pressure) + (0.2 × Personal weakness)
Score each option from 1 to 5, multiply, and compare. The value of the formula is not mathematical precision - it is that it forces you to state your reasons out loud, which is exactly what a teacher will ask you to do.
6. Talking to Your School: The Communication Protocol |
Timing matters more than eloquence. Raise a potential clash the moment the board timetable is published, not the week before the exam. Early requests are treated as planning; late requests are treated as excuses.
Go to the right person first. For board exams, that is the exams officer, who controls entries, sessions and special arrangements. For mocks and internal papers, it is usually the head of department or the academic coordinator. Copying everyone immediately tends to slow things down.
Bring a written proposal, not a complaint. A good request looks like this:
- The two conflicting events, with exact dates, times and durations.
- The rule or regulation that governs the case, if you can find it.
- Two or three workable options, ranked by your preference.
- What you will do to make the alternative work.
7. Official Mechanisms You Should Know About | 你必须了解的官方机制
Centres have more tools than students realise. Where a candidate faces an unusually heavy schedule, many boards and awarding organisations permit arrangements such as supervised rest between papers, separate supervision for candidates sitting clashing papers, or the movement of a paper to an approved later session. These are centre-level decisions made under published regulations, and they must be requested well in advance, sometimes with a formal application.
Where illness, bereavement or a documented disruption affects performance, special consideration is a separate process with its own evidence requirements and its own deadlines. It is assessed after the exams, but it depends on documentation collected during them.
The single most useful sentence you can say to a school is: "Which regulation covers this, and who signs it off?" It converts an emotional conversation into an administrative one.
8. Adjusting the Internal Assessment |
Schools have far more flexibility over their own papers than most students assume. Common solutions include an alternative sitting date, sitting the paper as a timed mock under supervision at a different session, or dropping one internal paper and replacing it with a weighted alternative.
Ask about substitutions rather than cancellation. Schools are usually willing to accept a different piece of evidence - a past paper marked under exam conditions, a timed essay at home with a signed declaration, or a previously completed assessment - whereas outright cancellation weakens their internal data.
If a shift is agreed, confirm it in writing the same day. Verbal agreements about exam arrangements have a habit of evaporating.
9. Running Two Revision Tracks at Once |
A conflict period is a scheduling problem before it is an academic one. Work out your realistic weekly study capacity, then allocate it by paper rather than by subject, because papers have different demands.
Hours per paper = (Weeks remaining × Weekly study hours) ÷ Number of papers
Then protect the highest-cost elements first: full timed papers, mark schemes and error logs. Content revision is cheap to move; timed practice is not, because it needs a clear head and a fixed block of time.
A workable default during a clash period is 60% to the nearest external paper, 25% to the internal assessment that affects predictions, and 15% to maintenance of everything else. Adjust the ratio weekly, and record why you adjusted it - that record becomes your evidence if you later need to explain your choices.
10. Special Cases: Orals, Practicals, Portfolios and EPQ | 特殊情形:口试、实验、作品集与 EPQ
Not all assessments behave like written papers. Speaking tests are often scheduled in a flexible window and can be moved more easily. Practical endorsements usually cannot be rescheduled without affecting the whole cohort. Portfolios, coursework and EPQ submissions are governed by board deadlines that are absolute and cannot be negotiated by a school.
This produces a clear rule: never let a moveable internal assessment push an immoveable external deadline. If your EPQ submission date is fixed by the board, work backwards from it and treat every other commitment as negotiable.
Also check access arrangements early. Extra time, separate rooms and rest breaks must be approved and applied for well before the series, and they cannot be granted retroactively on the day.
11. Documentation and Escalation |
Keep a simple log for the whole series: date, event, who you spoke to, what was agreed, and what happened. Ten lines a week is enough, and it converts a stressful conversation into a factual one.
If an arrangement is refused, escalate in order: subject teacher, head of department, exams officer, then senior leadership. At each stage, ask for the reason in writing and for the regulation being applied. Most refusals are resource problems rather than policy problems, and a written reason often reveals an alternative that was available all along.
Where performance was genuinely affected, the special consideration route depends entirely on evidence gathered at the time. Nothing retrospective works.
12. Common Mistakes and a Closing Checklist |
The most frequent mistake is silence. Students assume the school already knows, or that raising the issue looks like making excuses. It does not; it looks like planning, provided you raise it early and bring options.
The second most frequent mistake is treating a soft clash as a hard one. Demanding a reschedule when you merely have a busy week burns goodwill you may need later for a genuine emergency.
Before the series begins, confirm five things: your exact external timetable, every internal date, your access arrangements, who your exams officer is, and how to contact them during the exam period. Five answers, one page, one file.
Conflicts are not a sign that the system has failed you. They are a normal part of a large, tightly scheduled assessment system, and they are handled by ordinary administrative processes every single year.
