On 14 October 2026 the deadline for other arrangements in the January 2027 series is one week away, on 21 October 2026. Readers and scribes both fall under that deadline; a separate room usually does not. JCQ's AARA document puts alternative rooming in the centre's own hands, while readers and scribes have to be applied for online and backed by evidence, and the published date is about approval rather than submission.
JCQ splits these arrangements into two groups. The online list covers readers and computer readers, scribes and speech recognition software, 25% extra time, extra time beyond 25%, practical assistants, a bilingual dictionary with 25% extra time, timetable variations on the day and remote invigilation. Alternative rooming and separate invigilation sit on the other side; the centre authorises them itself, so one group waits for approval and the other only needs a school decision.
An alternative room is not simply a quieter seat. Section 5.16 asks two questions: whether the candidate has a substantial and long-term impairment with an adverse effect, and whether the arrangement already reflects their normal and current way of working. The SENCo decides, yet the reasoning must be recorded with medical evidence or teacher observations, and a room that appears for the first time in the exam hall will not survive inspection.
One-to-one invigilation is narrower still. Section 5.16 lists serious medical conditions such as frequent seizures, Tourette's, or behaviour that would disturb other candidates in the room. Most candidates with alternative rooming simply sit in a small room with peers who have similar needs, while the 1:1 version needs an extra invigilator; staffing, rather than paperwork, is what fails at short notice.
Many students assume exam nerves are enough to earn a room of their own. Section 5.16 is blunt: nervousness, low-level anxiety and worry about exams are not sufficient grounds for separate invigilation. Where anxiety genuinely affects performance the route runs through specialist evidence plus centre-based records, and JCQ's March 2026 supplementary guidance lets a SENCo consider supervised rest breaks before applying for 25% extra time.
A reader and a computer reader both sit on the must-apply list. Section 5.5.1 requires the application to be processed through Access arrangements online, with the evidence kept at the centre for inspection. It is centre-based evidence, so the SENCo describes the nature of the impairment and shows that a reader reflects the candidate's normal and current way of working; standardised reading scores are not required for this arrangement.
A reader cannot enter every paper. Where reading ability is the skill being assessed, a human reader is not permitted, though a computer reader may sometimes replace it; the same logic blocks a scribe from a component that assesses writing itself. Schools then switch tools, using enlarged print, coloured paper, low vision aids or an approved computer reader instead.
A scribe comes with its own score thresholds. The evidence must show either a spelling standardised score of 84 or below with unrecognisable spellings, or a writing speed score of 84 or below, all recorded on a fully completed Form 8 with Parts 1 to 3. Spreadsheets, emails, centre-devised forms, psychologist reports and dyslexia diagnoses are explicitly not acceptable substitutes.
A scribe's role has practical limits. One person may act as both reader and scribe, but only if both arrangements were approved separately. The scribe writes exactly what is dictated, offers no prompts, does not choose the order of questions and does not help with diagrams, so candidates are expected to have practised the routine beforehand.
Who actually does the job is where plans collapse late. Under 4.2.10 every appointed reader, scribe, prompter, practical assistant, language modifier or sign language professional is accountable to the exams officer and must be acceptable to the head of centre. A candidate's own subject teacher or teaching assistant normally cannot serve, and if they do, a separate invigilator must always be present; relatives, friends, peers and private tutors are ruled out.
The deadlines are published series by series. For 2026/27 JCQ lists 20 September 2026 and 1 November 2026 for the November 2026 series, 4 October 2026 and 21 October 2026 for January 2027, and 31 January 2027 with 21 March 2027 for June 2027. Modified papers always come first and everything else lands roughly two months later, while the wording that matters says arrangements must be processed and approved before the examination, not merely submitted.
Moving up a level or moving centre puts old evidence out of date. A Form 8 can be rolled forward from GCSE to A Level with a Form 8RF that refreshes the centre-based evidence, while a Form 9 cannot be rolled forward and must be rebuilt. A new centre also starts a fresh online application, and approvals expire 26 months after processing rather than after enrolment.
Late applications exist for one reason only: something happened suddenly. Section 8.3 allows applications after the published deadline for a temporary injury or impairment, or a disability diagnosed or newly manifesting after the course began, and centres must still process them through Access arrangements online as soon as practicable. Anything processed late may be scrutinised, the paperwork has to be on file, and an unapproved arrangement is simply not available on the day.
Missing the deadline costs more than it looks. Special consideration after the exams is capped at five per cent of a component's raw marks and cannot be stacked, so it cannot replace an arrangement that was never approved. The reliable route is to start now: use the arrangement in internal tests, keep the evidence, and check when existing approvals expire.
