What Are Internal and External Communication?
Internal communication refers to the exchange of information between people inside a business, such as a manager giving instructions to workers, an employee reporting progress to a supervisor, or two departments coordinating a project. External communication refers to contact between the business and outside stakeholders, including customers, suppliers, shareholders, banks, government agencies and the general public. Both directions matter: internal communication keeps the organisation coordinated, while external communication protects the firm's relationships and reputation in the wider market.
The Purposes of Communication in Business
In a business context, communication is not simply about passing on a message; it serves specific managerial purposes. A business communicates to inform employees about new policies or price changes, to instruct staff to complete particular tasks, to persuade customers to buy products or banks to approve loans, to motivate the workforce, and to warn people about safety issues. Communication also collects feedback that helps managers improve decisions. Identifying the underlying purpose is the first step in judging whether a given communication method is appropriate in case-study questions.
Main Methods of Internal Communication
Internal communication methods fall into three broad groups: oral, written and visual. Oral methods include face-to-face conversations, telephone calls, internal meetings and video conferencing; they are immediate, flexible and allow the sender to read reactions. Written methods include memos, internal reports, noticeboards and email; they create a permanent record and allow careful wording. Visual methods include flow charts, graphs and posters, which are ideal for complex data. In recent years intranets and instant messaging have made internal communication faster, although they also increase the risk of information overload.
Main Methods of External Communication
The channels used for external communication are equally varied. Businesses reach customers through advertising, social media, email marketing and customer-service hotlines; they deal with suppliers through purchase orders, enquiries and phone calls; they report to shareholders through annual reports and general meetings, which are often legal requirements; and they submit formal returns to government and tax authorities. External communication demands careful image management, because one badly worded email or an ill-considered social media post can damage a brand quickly. Firms also weigh cost, audience coverage and speed of feedback when choosing an external channel.
Advantages and Disadvantages of Oral and Written Communication
The main advantage of oral communication is that it is two-way and immediate: the sender gets an instant reaction and can clarify misunderstandings, which suits discussions and urgent matters. Its disadvantages are that messages are easily distorted and no permanent record exists, making it hard to verify who said what later. Written communication is accurate, can be filed as evidence, and can reach a large audience at once, which suits formal documents and complex information. However, it is mostly one-way, produces slow feedback, and costs more to draft and review. Exam questions often ask students to match the situation: urgent problems need oral channels, while formal contracts and records need written ones.
Formal vs Informal Communication
Formal communication flows along officially recognised channels: managers pass instructions down through formal meetings and written notices, and employees report upwards through established procedures. It is clear about authority, creates records, and supports accountability, but it is slow and can be distorted as messages pass through many layers. Informal communication happens in unofficial conversations between colleagues, in chat groups and around the coffee machine; it is often called the grapevine. The grapevine spreads information quickly in a relaxed atmosphere and can supplement formal channels, but the information is frequently inaccurate and rumours can cause anxiety.
One-Way vs Two-Way Communication
In one-way communication the message flows from sender to receiver with no feedback loop, as with written notices, broadcasts and television advertising. It is fast and cheap, and works well for simple, standard instructions, but the sender cannot confirm whether the receiver has understood, and complex tasks are hard to handle this way. Two-way communication allows the receiver to ask questions, respond and give opinions, as in meetings, training sessions and helplines. It is more accurate and increases the receiver's sense of involvement, but it takes more time. IGCSE questions often ask candidates to compare the suitability of the two modes in a given situation.
Common Barriers to Effective Communication
Barriers to communication are a favourite exam topic. Common barriers include language differences and excessive jargon that the receiver cannot understand; noise, such as a loud workshop or a poor phone connection; information overload, when so much is sent at once that the key point is lost; distrust or a status gap between sender and receiver that stops workers asking questions; choosing the wrong medium, such as using email for an urgent issue that needs instant discussion; and cultural differences, time zones and physical distance. When identifying barriers, candidates should tie each one to the specific details of the case, not just list the terminology.
How to Overcome Communication Barriers
The remedies should match the barriers one by one. For language problems, use plain, clear language, avoid jargon and provide translation where necessary. For noise, choose a quiet setting or more reliable equipment. For information overload, break the message into smaller, prioritised parts. For distrust, managers should build an open feedback culture, for example through regular employee surveys. For the wrong medium, adopt simple rules such as urgent matters by phone and important matters confirmed in writing. Providing feedback channels and checking that the receiver has understood should appear in almost every communication plan.
Choosing the Right Communication Method
When choosing a communication method in case-study questions, consider four factors: the purpose of the message, its urgency and complexity, the number and location of the receivers, and the cost and available technology. For example, announcing a new policy to all staff is best done with a written notice plus a short meeting; a safety incident in a factory calls for an immediate verbal alert followed by a written report; and introducing a new product to an overseas client may be better handled by video conference or a well-designed email than by an expensive face-to-face trip. In answers, list the options, evaluate each one briefly, then give a recommendation with reasons.
十一、IGCSE商务考试中的沟通题型 | How Communication Is Tested in IGCSE Business Exams
In the IGCSE Business Studies exam (Cambridge 0450), communication usually appears in the case-study questions on Paper 1 and Paper 2. Common question types include: identify the communication methods used in the case and explain why they were chosen; compare the advantages and disadvantages of two methods; explain a communication barrier and its consequences; and recommend how management could improve communication. Technique: for each point, state a clear judgement or term first, then develop it with facts from the case, and finish with a short evaluation. Full-mark answers usually contain three or more distinct points, each linked to the case context rather than a memorised textbook definition.
The Three High-Frequency Exam Areas: Purpose, Barriers and Media Choice
When revising the communication topic, condense the syllabus into three checklists. The first is the purpose checklist: inform, instruct, persuade, motivate and warn, each matched to a typical scenario. The second is the barrier checklist: language, noise, information overload, distrust and the wrong medium, and for each barrier you should be able to give one example from a case plus one remedy. The third is the media-selection checklist: urgency, audience size, complexity and cost. Testing yourself against these three lists before the exam covers most of the marks available for communication questions in Cambridge 0450.
