Every section below pairs the accounting principle with the exact mistake examiners see most often, so you can revise theory and technique at the same time.
1. Paper Structure and Where Marks Are Lost |
Cambridge IGCSE Accounting (0452) is assessed by two written papers: a multiple-choice paper weighted at roughly 30 per cent, and a structured written paper weighted at roughly 70 per cent. The written paper carries the double entry, ledger, adjustment and financial statement questions. Always confirm the current weightings and durations in the latest syllabus for your examination series.
Cambridge IGCSE
Marks are lost in four predictable places: (1) correct amounts posted to the wrong side; (2) correct double entry but missing narration or missing dates and folio references; (3) adjustments ignored when preparing the income statement or the statement of financial position; (4) final statement totals not balancing because one line has been placed in the wrong section.
Show all workings - method marks are awarded even when the final figure is wrong.
Label every figure with its unit and, where required, the words 'debit' or 'credit'.
Answer the command word: 'state' needs no working, 'calculate' needs working, 'explain' needs a reason.
2. The Accounting Equation and Double Entry |
Liabilities + Capital. Every transaction has a dual effect on this equation, and the total value of assets must always equal the total of liabilities plus capital after every transaction.
Assets = Liabilities + Capital
Capital = Opening Capital + Profit − Drawings
Debit and credit rules: increases in assets and expenses are debited; increases in liabilities, capital and income are credited. Drawings increase the drawings account by debit and reduce bank by credit.
A common error is to treat an expense as a decrease in capital without recording the other side of the entry. For example, paying rent reduces bank by credit and reduces capital through the rent expense by debit, not by subtracting it directly from capital in the ledger.
Another frequent mistake is to reverse the direction when the transaction is described from the bank's point of view, such as a bank overdraft. A bank overdraft is a liability, so it appears on the credit side of the cash book and in current liabilities, not in current assets.
Asset increase = debit; asset decrease = credit.
Liability and capital increase = credit; decrease = debit.
Expense increase = debit; income increase = credit.
3. Books of Prime Entry and Ledgers |
Books of prime entry include the sales journal, purchases journal, sales returns journal, purchases returns journal, cash book and general journal. The cash book is both a book of prime entry and a ledger account.
Trade discount is deducted on the invoice before recording the transaction, so it is not entered in double entry. Cash discount, by contrast, is recorded because it changes the amount actually received or paid, and it is entered in the discount allowed or discount received account. Confusing the two is one of the most common errors in the whole paper.
| Book of prime entry | Source document | Posted to |
| Sales journal | Invoice (issued) | Sales account and sales ledger |
| Purchases journal | Invoice (received) | Purchases account and purchases ledger |
| Sales returns journal | Credit note (issued) | Returns inwards and sales ledger |
| Purchases returns journal | Credit note (received) | Returns outwards and purchases ledger |
| Cash book | Cheque counterfoil, paying-in slip | Cash and bank accounts |
| General journal | Memo, correction instruction | Any ledger account |
The ledger is divided into the sales ledger (personal accounts of credit customers), the purchases ledger (personal accounts of credit suppliers) and the nominal or general ledger (income, expense, asset and liability accounts). A typical error is to write the debtor's name in the nominal ledger, or to enter the same transaction twice - once in the book of prime entry and once again as a separate entry in the ledger.
4. Trial Balance, Errors and the Suspense Account |
A trial balance is a list of ledger balances at a given date, with debit balances in one column and credit balances in another. It proves that total debits equal total credits, but it does not prove that no error has been made.
Errors that do not affect the agreement of the trial balance include: error of omission, error of commission, error of principle, error of original entry, complete reversal of entries, and compensating errors. Errors that do affect the agreement include: a single (one-sided) entry, unequal debit and credit postings, an arithmetical error in an account, and a transposition such as recording 54 instead of 45.
When the trial balance does not agree, the difference is entered in a suspense account. The suspense account is opened with the difference on the smaller side, and it is cleared once the errors are found and corrected. Never use the suspense account to hide an unexplained difference in the final accounts.
Correcting an error of principle: reverse the wrong entry, then record the correct entry.
Correcting a one-sided entry: post the missing amount only.
Correcting an overcast or undercast: enter the difference, not the whole total.
5. Control Accounts and Their Reconciliation |
The sales ledger control account is a summary of all the personal accounts in the sales ledger; the purchases ledger control account summarises the purchases ledger. It is prepared from books of prime entry, not from individual ledger accounts, so it serves as an independent check on the ledger clerk's work.
Typical debit entries in the sales ledger control account: opening balance of trade receivables, credit sales, interest charged on overdue accounts, dishonoured cheques. Typical credit entries: cash and cheque receipts, discount allowed, sales returns, bad debts written off, contra or set-off against the purchases ledger, and the closing balance carried down.
The most common error is to enter a contra between the sales ledger and the purchases ledger on the wrong side, or to omit it from both control accounts. Another frequent mistake is to include cash sales in the sales ledger control account - cash sales affect the sales account but never the trade receivables.
6. Bank Reconciliation Statements |
A bank reconciliation statement explains why the bank statement balance differs from the bank balance in the cash book. The causes are timing differences, items entered only by the bank, and errors by either party.
Unpresented (outstanding) cheques - reduce the bank statement balance.
Uncredited deposits or lodgements - increase the bank statement balance.
Bank charges, bank interest, standing orders and direct debits - recorded by the bank but not yet in the cash book.
Dishonoured cheques and dividends credited directly - also entered by the bank first.
The correct method is to first update the cash book with all items the bank has already recorded, then take the adjusted cash book balance and reconcile it to the bank statement by allowing for unpresented cheques and uncredited deposits. Reversing this order, or adding unpresented cheques instead of deducting them, is the single most frequent error in this topic.
7. Accruals, Prepayments and Other Adjustments |
Accruals are expenses incurred but not yet paid, or income earned but not yet received. Prepayments are expenses paid in advance, or income received in advance. Both must be adjusted at the year end so that the income statement shows only the amount relating to the current period.
Expense in income statement = Paid − Opening accrual + Closing accrual
Expense in income statement = Paid + Opening prepayment − Closing prepayment
In the statement of financial position, accrued expenses are current liabilities and prepaid expenses are current assets. Accrued income is a current asset and income received in advance is a current liability.
Common errors: adding an accrual when it should be deducted; ignoring an opening accrual because it was already paid during the year; and putting a prepayment in current liabilities. A useful check is that a closing accrual increases the expense, while a closing prepayment decreases it.
8. Depreciation and Disposal of Non-Current Assets |
Depreciation is the systematic allocation of the depreciable amount of a non-current asset over its useful life. The two methods required by the syllabus are the straight-line method and the reducing (diminishing) balance method.
Straight line: Annual depreciation = (Cost − Residual value) ÷ Useful life
Reducing balance: Annual depreciation = Net book value × Depreciation rate
Depreciation is charged to the income statement as an expense and credited to the provision for depreciation account, which is deducted from cost in the statement of financial position to give net book value. A frequent error is to credit the asset account directly instead of the provision account.
On disposal, remove the original cost from the asset account and the accumulated depreciation from the provision account, record the proceeds, and calculate the profit or loss on disposal. A profit on disposal arises when proceeds exceed net book value; it is added to profit for the year as other income.
Never charge depreciation on land unless the question states otherwise.
Charge depreciation only for the months the asset was owned in the year of purchase and sale.
Do not record depreciation in the cash book - it is a non-cash adjustment.
9. Bad Debts, Provision for Doubtful Debts and Inventory |
A bad debt is written off when it is confirmed irrecoverable; the entry is debit bad debts, credit the customer's account. A provision for doubtful debts is an estimate of debts that may not be collected, calculated as a percentage of the remaining trade receivables.
The income statement is charged only with the increase in the provision, or credited with the decrease. Adding the whole new provision as an expense each year, instead of the movement, is a very common error.
Inventory is valued at the lower of cost and net realisable value, applied item by item. Net realisable value is the estimated selling price less any further costs of completion and selling. Opening inventory is added to purchases, and closing inventory is deducted to find cost of sales.
Cost of sales = Opening inventory + Purchases − Closing inventory
Common errors: deducting closing inventory in the statement of financial position as well as in the income statement; using selling price as the valuation basis; and including goods held on behalf of another business. Goods sold on credit but not yet delivered may also be excluded incorrectly.
10. Financial Statements and Capital vs Revenue Expenditure |
The income statement calculates gross profit, then profit for the year. The statement of financial position shows non-current assets, current assets, current liabilities, net current assets, non-current liabilities, net assets, and the capital section.
Gross profit = Revenue − Cost of sales
Net assets = Non-current assets + Net current assets − Non-current liabilities
Capital expenditure is spending on acquiring or improving a non-current asset; it is recorded in the statement of financial position. Revenue expenditure is spending on day-to-day running costs or on maintaining an asset in working order; it is charged to the income statement. Classifying a repair as capital expenditure overstates both profit and assets.
The closing capital section is checked with the accounting equation: opening capital plus profit for the year minus drawings must equal closing capital. If the statement of financial position does not balance, check first for a missing accrual, a wrongly classified item, or drawings not deducted.
11. Ratio Analysis and Interpretation |
Ratio questions carry easy marks because the formulae are fixed, but the interpretation marks require a reason. Always state the formula, show the substitution, give the answer to two decimal places, and then explain what the change means.
| Ratio | Formula |
| Gross profit margin | Gross profit ÷ Revenue × 100 |
| Profit margin | Profit for the year ÷ Revenue × 100 |
| Mark-up | Gross profit ÷ Cost of sales × 100 |
| Return on capital employed | Profit for the year ÷ Capital employed × 100 |
| Current ratio | Current assets ÷ Current liabilities |
| Liquid (acid test) ratio | (Current assets − Inventory) ÷ Current liabilities |
| Rate of inventory turnover | Cost of sales ÷ Average inventory |
25 per cent corresponds to a gross profit margin of 20 per cent, because 25 ÷ 125 = 0.20.
Interpretation marks come from comparisons, not descriptions. Poor phrasing: 'the current ratio is 1.8'. Better phrasing: 'the current ratio has fallen from 2.1 to 1.8, which means the business has less cover for its short-term debts, possibly because inventory has increased or trade payables have risen.'
