1. What is Accounting? |
Accounting is the process of recording, classifying, and summarising financial transactions to help people make informed decisions. Think of it as the language of business — it tells you where money comes from, where it goes, and what the organisation owns or owes at any point in time. At KS3, we focus on understanding basic terms and practising simple records.
There are two main branches you’ll meet early on: financial accounting, which prepares reports for external users like investors or tax authorities, and management accounting, which produces information for internal managers. The WJEC course introduces both but keeps the focus on recording transactions, keeping ledgers, and extracting a trial balance.
2. The Accounting Equation |
nting rests on one simple equation: Assets = Liabilities + Equity. This is not just a rule — occurs, the equation must remain in equality, which is why we use double-entry recording.
unts owed to suppliers. Equity represents the owner’s claim on the assets after deducting liabilities. If you rearrange the equation, you can see that Equity = Assets − Liabilities, which shows what the business is truly worth to its owner.
3. Understanding Assets |
An asset is anything a business owns or controls that has future economic value. KS3 learners often begin by classifying assets into two types: current assets and non-current assets. Current assets are expected to be turned into cash or used up within one year — examples are cash at bank, inventory (stock), and trade receivables (debtors). Non-current assets, also called fixed assets, are kept for longer than a year, such as machinery, vehicles, and buildings.
In the WJEC course, you may also see intangible assets like goodwill or patents, but at this stage, we concentrate on tangible assets that you can see and touch. Learning to spot assets in everyday life helps: your phone, your savings, even a bicycle used for a delivery business are all examples of assets.
4. Understanding Liabilities and Equity |
Liabilities are the debts or obligations of a business. Like assets, they are split into current liabilities (payable within one year, such as trade payables or a bank overdraft) and non-current liabilities (due after more than one year, such as a long-term bank loan). Recognising the difference helps users understand whether a business can pay its short-term commitments.
Equity, sometimes called capital or net assets, is what remains after all liabilities are settled. For a sole trader — the most common business type in KS3 — equity is simply the owner’s capital plus any profits retained in the business, minus any drawings (money taken out by the owner for personal use). Keep in mind: the accounting equation must always be balanced, so every transaction that changes assets must also change liabilities or equity by the same total amount.
5. Double-Entry Bookkeeping: The Core of Recording |
Double-entry bookkeeping is the method used to keep the accounting equation in balance. Every transaction affects at least two ledger accounts — one account is debited, and another is credited. The total value of debits must always equal the total value of credits. This idea dates back over 500 years and is still the global standard.
At KS3, you will practise recording transactions using T-accounts — simple representations of ledger accounts shaped like the letter T. The left side is the debit side, and the right side is the credit side. For example, if a business buys a computer for cash, you debit the Equipment account (asset increases) and credit the Cash account (asset decreases). This keeps assets equal to liabilities plus equity.
6. Rules of Debit and Credit |
Remembering which accounts to debit and which to credit is easier with a set of rules based on the accounting equation. The three golden rules are: for assets, an increase is a debit and a decrease is a credit; for liabilities, an increase is a credit and a decrease is a debit; for equity (capital), an increase is a credit and a decrease is a debit. Revenue and expenses follow similar logic because they affect equity: income increases equity, so it is credited; expenses decrease equity, so they are debited.
A handy mnemonic is 'DEAD CLIC': Debit Expenses, Assets, Drawings; Credit Liabilities, Income, Capital. This is not in the official WJEC specification, but many KS3 students find it useful for quick recall. As you practise posting transactions, these rules will become second nature.
7. Recording Common Transactions |
Now let’s apply double-entry to everyday business events. When the owner invests cash into the business, you debit Cash (asset increases) and credit Capital (equity increases). When the business buys goods for resale on credit, you debit Purchases (an expense that will reduce equity later) and credit Trade Payables (liability increases). When a customer pays in cash, you debit Cash (asset increases) and credit Sales Revenue (income increases).
You will also encounter transactions like paying wages (debit Wages Expense, credit Cash), taking a bank loan (debit Cash, credit Bank Loan liability), and the owner withdrawing money for personal use (debit Drawings, credit Cash). Drawings reduce equity directly, which is why they carry a debit balance. Always check that your debits equal your credits after each entry.
8. Ledger Accounts and T-Accounts | 分类账与 T 型账户
A ledger account is a record of all transactions affecting a particular item, such as Cash, Sales, or Capital. In practice, we use three-column ledger accounts showing date, details, and amount, but at KS3, T-accounts are a perfect visual tool. Each T-account has a title on top, the debit side on the left, and the credit side on the right. The difference between the two sides is called the balance.
Balancing a T-account means calculating the total on each side, finding the difference, and bringing that difference down as the balancing figure on the opposite side. If the debit side is larger, the account has a debit balance; if the credit side is larger, it is a credit balance. Asset and expense accounts normally have debit balances, while liability, capital, and income accounts usually have credit balances.
9. The Trial Balance | 试算表
A trial balance is a list of all the ledger account balances at a specific date, divided into debit and credit columns. Its main purpose is to check the arithmetic accuracy of the double-entry records — if total debits equal total credits, there is a good chance the books are mathematically correct. At KS3, you will learn to extract a trial balance from a set of T-accounts.
Even if a trial balance balances, errors may still exist, such as posting a transaction to the wrong account, omitting a transaction entirely, or recording the correct amounts on the wrong side. You will explore these errors later, but for now, focus on preparing a balanced trial balance from correctly posted entries. It is a satisfying step that confirms your double-entry logic.
10. Income, Expenses, and Profit |
Income is the money earned from selling goods or providing services. In WJEC KS3, you will often see Sales and other income streams like rent received or commission income. Expenses are the costs incurred to earn that income — such as rent, wages, electricity, and advertising. The difference between total income and total expenses over a period is called profit (or loss if expenses exceed income).
Profit increases the owner’s equity, and a loss decreases it. This is why income accounts are credited (they increase equity) and expense accounts are debited (they decrease equity). Understanding this relationship prepares you for the income statement — a formal financial report that shows profit performance over a period of time. For now, simply get comfortable identifying which items are income and which are expenses.
11. Summer Bridging Activities |
To build confidence before the school year starts, try a few simple exercises. Keep a personal cash diary for two weeks, recording every amount you receive (pocket money, gifts) and every amount you spend. At the end of each week, classify your entries into 'income' and 'expenses' and calculate your surplus or deficit. This mirrors the way businesses track their finances.
Create a balance sheet for a fictional stall that sells snacks. Decide on starting capital, buy some inventory and equipment, and then record a few sales. Work through the double-entry for each transaction using T-accounts. Compare your trial balance to see if everything matches. Even a simple lemonade stand exercise can illuminate the entire accounting cycle.
12. Key Skills for KS3 Success | KS3
Success in KS3 WJEC Accounting depends less on memorising rules and more on developing consistent habits. Always write down the accounting equation before tackling a question. Draw neat T-accounts and label every entry clearly. Check that debits equal credits after every transaction. These tiny disciplines will save you from countless mistakes.
Use terminology precisely: 'debit' and 'credit' refer to sides of an account, not increases or decreases in a bank balance. Learn to distinguish between cash and profit — a common misconception. Profit is income minus expenses, while cash is simply money in the bank; they are not the same. Finally, read scenarios carefully and highlight the driving details, because WJEC questions are often embedded in real-life contexts.
