Welcome to your essential study companion for Key Stage 3 Business Studies under the OCR specification. This guide organises the core concepts you need to master: from understanding why businesses exist and how they are structured, to the ways they market products, manage money and motivate people. Use it to test your recall and build strong foundations before moving on to GCSE.

1. What is Business and Enterprise? |

A business is any organisation that provides goods or services to satisfy the needs and wants of customers. An entrepreneur is someone who takes the risk of starting and running a new business venture, often by spotting a gap in the market and combining factors of production (land, labour, capital and enterprise) to create value.

The main purpose of business activity is to add value. Value added is the difference between the selling price of a product and the cost of bought-in materials and components. A furniture maker buys wood for £20, designs and builds a chair that sells for £80 – the value added is £60. Businesses aim to make this gap as wide as possible to generate profit.

2. Types of Business Organisation |

The private sector consists of businesses owned by individuals or groups of individuals. The main legal structures include sole traders, partnerships, private limited companies (Ltd) and public limited companies (plc). A sole trader is the simplest form: one owner who keeps all profits but bears unlimited liability for all debts.

Partnerships involve 2–20 partners who share capital, skills and responsibilities. Private limited companies have 'Ltd' after their name; shares are sold privately to friends and family, and shareholders enjoy limited liability – they can only lose the money they invested. Public limited companies sell shares on the stock exchange and must publish full accounts, making them more open to public scrutiny.

Social enterprises and charities operate in the third sector. They trade to fulfil a social mission rather than to maximise profit for owners. Any surplus is reinvested into the social purpose, such as supporting homeless people or protecting the environment.

3. Business Aims and Objectives |

An aim is the general long-term goal a business wants to achieve, such as 'to become the leading sports retailer in the region'. Objectives are specific, measurable steps that help the business reach its aims. Effective objectives are often SMART: Specific, Measurable, Achievable, Relevant and Time-bound.

Common business objectives include survival (crucial for new firms), profit maximisation, growth (measured by sales, employees or outlets), increasing market share, providing a high-quality service, and supporting a social cause. Objectives can change over time: a start-up may initially focus on survival, then shift to growth once it has established a customer base.

4. Stakeholders |

A stakeholder is any individual, group or organisation that has an interest in or is affected by the activities of a business. Stakeholders can be internal, such as owners, managers and employees, or external, such as customers, suppliers, the local community, the government and pressure groups.

Each stakeholder group has different objectives that may conflict. Owners generally seek high profits and dividends, while employees want good wages and safe working conditions. Customers demand low prices and high quality. The local community may desire jobs and low pollution. Managers must often balance these competing interests; for example, paying higher wages might satisfy staff but reduce profit, upsetting owners.

Marketing is the process of identifying, anticipating and satisfying customer needs profitably. The marketing mix describes the four key elements that firms combine to influence consumers to buy their products: Product, Price, Place and Promotion. These are often called the 4Ps and must be consistent with the target market.

Product refers to the good or service itself, including design, features, quality, branding and packaging. Price is the amount customers pay; pricing strategies include cost-plus pricing (adding a mark-up to unit cost), competitive pricing (matching rivals), penetration pricing (low initial price to gain share) and skimming (high price for a new innovative product). Place covers distribution channels and locations: whether goods are sold in a physical shop, online, through wholesalers or directly. Promotion is all communication designed to make customers aware of and persuaded to buy the product, such as advertising, sales promotions, public relations and social media campaigns.

6. Sources of Finance |

Businesses need finance for many reasons: to start up, to purchase fixed assets like machinery, to expand operations, or to manage short-term cash shortages. Sources of finance can be internal (raised from within the business) or external (obtained from outside). The choice depends on the amount needed, the duration, the cost and the level of control the owners wish to retain.

Internal sources include retained profit (profits kept in the business rather than paid to owners), sale of unwanted assets, and tighter credit control. For a sole trader, the owner's own savings are the most common internal source. External sources include bank loans (repaid with interest over a fixed term), overdrafts (flexible short-term borrowing where interest is charged on the negative bank balance), trade credit (obtaining goods now and paying suppliers later, usually within 30–90 days), share capital (selling shares in companies) and crowdfunding (raising small sums from a large number of people via online platforms).

7. Costs, Revenue and Profit |

A business' ce per unit × Quantity sold. Costs are the expenses a business incurs, which are classified as fixed costs (remain the same regardless of output, e.g. rent, salaries) and variable costs (change directly with output, e.g. raw materials, packaging). Total costs = Fixed costs + Variable costs.

Profit is the positive difference between total revenue and total costs. If total costs exceed total revenue, the business makes a loss. Gross profit is revenue minus the cost of goods sold, while net profit (or operating profit) deducts all other expenses too. Profit acts as a reward for risk-taking and provides a source of finance for future investment.

8. Cash Flow Forecasting |

Cash flow is the movement of money into and out of a business over a period of time. Profit is not the same as cash: a business can be profitable but still run out of cash if customers delay payment. A cash flow forecast is a planning tool that estimates future monthly inflows (receipts) and outflows (payments), showing the net cash flow and the closing bank balance each month.

A typical forecast lists opening balance, then adds cash inflows (sales, loans, owner's capital) and subtracts cash outflows (wages, rent, materials, advertising). The closing balance becomes the next month's opening balance. A negative closing balance signals a potential liquidity problem, allowing the business to act early – perhaps by arranging an overdraft, chasing debtors or delaying purchases.

9. Break-even Analysis |

Break-even is the point at which a business' er all costs. The break-even point can be calculated using a formula: Break-even output = Fixed costs ÷ (Selling price per unit − Variable cost per unit). The denominator (selling price minus variable cost) is called the contribution per unit.

A break-even chart plots total costs and total revenue against output; the intersection of the two lines shows the break-even point. The area to the right is the profit zone, and to the left is the loss zone. The margin of safety is the amount by which current sales exceed the break-even level. Analysis helps in setting price, deciding whether to launch a product, and understanding how changes in costs affect viability.

10. Recruitment and Selection |

Human resources are the people who work for a business. Recruitment is the process of attracting and hiring the right person for a job. It begins with identifying a vacancy and producing a job description (roles and duties) and a person specification (skills, qualifications and qualities required). This helps to filter candidates and ensure a good fit.

Advertising can be internal (notice boards, emails) or external (websites, newspapers, agencies). Applications may be gathered via CVs and cover letters or application forms. Selection methods include shortlisting, interviews, psychometric tests, work sample tasks and assessment centres. The final stage is offering the job and providing an induction so the new employee learns about policies, culture and colleagues. A fair and non-discriminatory process, in line with equality legislation, is essential.

11. Motivation in the Workplace |

Motivation is the drive that makes employees want to work hard and contribute effectively. Motivated staff are more productive, produce higher quality work, and are less likely to leave the business. Theories of motivation help managers design reward systems. Taylor's scientific management argued that money is the main motivator, leading to piece-rate pay. Maslow's hierarchy of needs suggests that lower-level needs (safety, belonging) must be met before higher-level needs (esteem, self-actualisation) can motivate.

Financial motivators include wages and salaries, commission (percentage of sales), bonus (extra payment for reaching a target), profit sharing and fringe benefits like a company car. Non-financial motivators are equally powerful: job enlargement (giving more tasks of a similar level), job rotation (moving between different tasks), empowerment (giving people more control over their work), training opportunities, and simply praise and recognition.

12. External Influences on Business |

No business operates in a vacuum. External factors beyond its control can present opportunities or threats. A common framework for analysing these factors is PESTLE: Political, Economic, Social, Technological, Legal and Environmental influences. Being aware of these helps managers plan for the future.

Political factors include government policies on taxation (corporation tax, VAT), subsidies and trade agreements. Economic factors involve the state of the economy: inflation (rising prices) erodes consumer spending power; interest rates affect the cost of borrowing and can encourage or discourage investment; exchange rates influence the price of imports and exports. Social trends such as an ageing population, healthy lifestyles and environmental awareness shift consumer demand. Technological changes (e-commerce, automation, social media) create new ways to reach customers and improve efficiency. Legal factors cover employment law, consumer protection and health and safety regulations. Environmental influences include the pressure to reduce carbon footprint, use sustainable materials and minimise waste.
