📚 Library and Information Management |
As a key knowledge resource centre, a library carries a huge amount of information and offers a wide range of resources and services. Information management, an equally important field, focuses on the collection, organisation, storage, retrieval, dissemination and use of information. The two are closely intertwined and mutually supportive, and together they answer society's ever-present need for information.
This article keeps that core idea and expands it into a complete revision guide: what each field covers, how they overlap, the vocabulary you need, and the real-world skills and trends that examiners and employers look for.
1. Defining Library and Information Management |
Library and information management, usually shortened to LIM, is the study and the professional practice of how recorded knowledge is selected, organised, stored, retrieved, shared, preserved and finally used. It combines the long tradition of librarianship with the analytical methods of information science, and it also borrows from archival science, knowledge management and, increasingly, data science.
The field answers a simple but demanding question: how can the right information reach the right person at the right time, in a form that person can trust and afford? Because that question never disappears, LIM sits at the centre of education, research, business, government and everyday life.
Data → Information → Knowledge → Wisdom
The widely used DIKW pyramid, often linked to Russell Ackoff, describes how raw data becomes information once it is placed in context, knowledge once it is understood and applied, and wisdom once it is judged. Information professionals work at every level of this chain.
2. The Role and Functions of Libraries |
As a key knowledge resource centre, the library holds a vast amount of information and provides diversified resources and services. Its collections gather books, journals, newspapers, audiovisual materials and electronic resources in rich forms, serving both study and leisure needs.
Beyond traditional borrowing, the library stimulates reading and research through lectures, exhibitions, training sessions and reading clubs, which push knowledge to flow and to be shared.
- Acquisition and collection development | 采访与馆藏发展 — selecting and purchasing new materials.
- Cataloguing and classification | 编目与分类 — describing items so they can be found.
- Circulation and document delivery | 借阅与文献传递 — lending, renewals, interlending.
- Reference and reader advisory | 参考咨询与阅读指导 — answering enquiries, recommending titles.
- Preservation and conservation | 保存与修复 — slowing the decay of physical and digital items.

3. Collections and Resources: From Print to Digital |
Today's library has long crossed the boundary of paper. As technology penetrates every corner of the institution, electronic resources and digitisation methods are increasingly integrated into it. E-books, online databases and academic journals allow readers to access collections remotely, at any time and from anywhere.
The development and maintenance of these digital resources depends both on information technology for support and on the knowledge and skills of information professionals, who license, describe, link and preserve them.
| Audio-visual and media | 音像与媒体 | DVD, streaming | 光盘、流媒体 | Borrowing or on-demand | 借阅或点播 |
4. What Is Information Management? |
Information management plays an extremely important role in our daily life and work. It covers every aspect of information: collection, recording, classification, archiving, protection and use.
In the digital era the volume and variety of information grow explosively, and managing that flood efficiently has become a serious challenge. Information managers must therefore be technically literate and managerially minded at the same time: they design feasible information strategies, plan future-oriented information systems, and safeguard the security and reliability of information.
Nₜ = N₀ × (1 + r)ᵗ
The formula above is a simple way to picture information growth: the amount of information at time t (Nₜ) equals the starting amount (N₀) multiplied by a growth factor raised to the power of time. Even a modest annual rate r produces a dramatic curve.
| Capture | 采集 | Obtain data from the right sources. |
| Organise | 整理 | Classify, tag and index so items can be found. |
| Store | 存储 | Keep it safe, backed up and recoverable. |
| Retrieve | 检索 | Find it quickly and precisely. |
| Use | 运用 | Turn information into decisions and value. |
5. The Information Life Cycle |
Information is not a static object; it has a life cycle. It is created or captured, then organised, stored, retrieved, shared and used, and finally either retained for the long term or disposed of in a controlled way. Records managers use retention schedules to decide which documents must be kept, for how long, and under what legal basis.
Create → Organise → Store → Retrieve → Share → Use → Retain or Dispose
Each arrow in this chain is a point of failure. A badly described item cannot be retrieved; an unbacked-up item can vanish; an over-retained item becomes a liability under data protection law.
6. Digital Libraries and Information Technology |
Digitisation projects convert physical items into images, text and structured data. Standards then make them findable: MARC 21 for bibliographic records, Dublin Core for simple resource description, and a growing set of linked-data vocabularies. Library management systems handle acquisitions, loans and fines, while discovery layers search across many databases at once.
Current technology stacks also include cloud hosting, application programming interfaces, optical character recognition, semantic search and recommendation engines powered by artificial intelligence. Digital preservation adds checksums, format migration and replication, so that a file is still readable decades later.
Storage planning needs a sense of scale. One terabyte equals about 10¹² bytes, and a large research library may manage petabytes, that is 10¹⁵ bytes, of licensed and locally digitised content.
7. Cataloguing, Classification and Metadata |
Cataloguing is the craft of describing an item so precisely that a stranger can find it. Classification then gives that description a place on the shelf and in the catalogue. Together they answer two questions: which item is this, and where does it belong?
| CLC | 中国图书馆分类法 | Chinese Library Classification | Most libraries in China | 中国多数图书馆 |
Alongside classification sit subject headings, authority control, call numbers and the online public access catalogue. Metadata quality is what makes all of this work: a record that is complete, consistent and interoperable turns a warehouse of items into a searchable collection.
8. Information Literacy and User Services |
Information literacy is the ability to recognise when information is needed, to locate it efficiently, to evaluate it critically and to use it ethically. Librarians teach it through induction sessions, research consultations and credit-bearing courses, because a good collection is useless if users cannot navigate it.
Search strategy rests on a few reliable tools. Boolean operators are the foundation of most database searching:
- A AND B | A 与 B — narrows the results; both terms must appear.
- A OR B | A 或 B — widens the results; either term may appear.
- NOT | 非 — excludes a term and reduces noise.
- Truncation and phrase search |
