📚 GCSE CIE Accounting: Quick Memorization Guide to Vocabulary & Terminology | GCSE CIE
Mastering GCSE CIE Accounting starts with a rock-solid command of the key terms. This guide organises essential vocabulary into logical topics and gives you ready-made memory hooks – acronyms, silly sentences and visual tricks – so you can recall definitions instantly in the exam.
1. The Accounting Equation & Core Concepts |
The fundamental accounting equation is the backbone of everything: Assets = Liabilities + Equity. Think of a seesaw balanced by what a business owns (assets) on one side and how those assets are financed (liabilities and owner's stake) on the other.
To memorise this instantly, use the mnemonic ALE – Assets stand on the left, Liabilities and Equity sit on the right. Picture a happy ale drinker balancing a glass on each side.
Equity represents the owner's claim after all debts are paid. It is also called capital and increases with profit and fresh investment, but decreases with drawings (money taken by the owner) and losses.
Business entity rule: the owner and the business are treated as separate 'beings'. This means personal expenses of the owner cannot be mixed with business transactions.
2. Assets: Types & Memory Hacks |
An asset is any resource controlled by the business from which future economic benefits are expected to flow. Split them into non-current assets (kept for more than one year, e.g. buildings, machinery) and current assets (expected to be turned into cash within a year, e.g. inventory, trade receivables, cash).
Non-current = 'Not Conning You': the asset is really staying long-term. Picture a heavy lorry parked outside the factory – it isn't moving out quickly.
Current assets = 'CA sh' of financial position in order of liquidity: cash, then trade receivables, then inventory.
Trade receivables (old name: debtors) are customers who owe money for goods sold on credit. They are an asset because they promise future cash inflow.
3. Liabilities & Equity: What You Owe vs Own | 负债与权益:欠什么与拥有什么
A liability is a present obligation arising from past events, settled by an outflow of resources. Like assets, liabilities are classed as current (payable within one year, e.g. trade payables, bank overdraft) and non-current (payable after more than one year, e.g. long-term bank loan).
Trade payables (old name: creditors) are suppliers you owe. They are the flipside of trade receivables. Think of 'PAYables' because you must pay them out soon.
d earnings. Retained earnings are profits kept in the business, not withdrawn. Visualise a 'retained piggy bank' that grows year by year.
Liabilities + Equity = Total Financing. This matches the total assets on the other side. Use the phrase 'L + E equals A' to keep the balance sheet identity alive.
4. Income & Expenses: Revenue Recognition |
Income arises from selling goods or providing services; it increases equity. In CIE Accounting, revenue is recognised when earned, not necessarily when cash is received (accruals concept).
Expenses are costs used up in generating income; they decrease equity. They follow the matching principle – recorded in the same period as the related income.
Think of income as the 'In' stream filling the equity tank, while expenses are the 'Ex' drain. Higher income than expenses = net profit, which tops up the tank.
Cost of sales = opening inventory + purchases – dwich: opening stock on top, purchases in the middle, closing stock taken away underneath.
Every transaction has a debit and a credit. Debit is the left side; credit is the right side. A classic memory aid is DEAD CLIC: Debit increases Expenses, Assets, Drawings; Credit increases Liabilities, Income, Capital.
Picture a gravestone marked 'DEAD' and a camera 'CLIC' – debit the dead things (expenses, assets, drawings) and credit the clicky gains (liabilities, income, capital). This works for increases.
To reduce an account, simply do the opposite: reduce an asset by crediting it, reduce a liability by debiting it.
Drawings represent the owner taking out cash or goods for personal use. It reduces equity. Debit drawings, credit cash or purchases – the mnemonic 'Draw from DEAD' reminds you drawings are in the DEAD group.
6. Source Documents & Books of Prime Entry |
Every entry starts with a source document. The key ones are: invoice (bill of sale), debit note (request for credit received), credit note (document of returns/allowance), receipt, cheque counterfoil, petty cash voucher and bank statement.
Memory sentence: 'In Rainy Cold Days, People Carry Brollies' – Invoice, Receipt, Credit note, Debit note, Petty cash voucher, Cheque counterfoil, Bank statement. The brollies idea is quirky enough to stick.
Books of prime entry record transactions from these documents before they reach ledgers. Use the phrase 'Smart Penguins Splash, Playing Cool Pool Games' for Sales Journal, Purchases Journal, Sales Returns Journal, Purchases Returns Journal, Cash Book, Petty Cash Book, General Journal.
The cash book is unique because it doubles as a book of prime entry and a ledger account. Bank columns record actual money movements.
7. Ledgers, Trial Balance & Errors |
Three main ledgers: Sales Ledger (trade receivables with names), Purchases Ledger (trade payables), and General Ledger (everything else – nominal accounts). Remember 'SPG' – Sales, Purchases, General.
The trial balance lists all debit and credit balances. If totals match, arithmetic accuracy is suggested but not guaranteed. Six errors can still lurk: omission, commission, principle, original entry, compensating, complete reversal.
Recall these six with 'Only Cats Prefer Ocean Curious Crabs': Omission, Commission, Principle, Original entry, Compensating, Complete reversal. Imagine a sailor cat giving a funny look at a curious crab.
Suspense account is used temporarily when the trial balance does not balance. Once the error is found, the suspense balance must be cleared to zero.
8. Financial Statements: Key Terms |
ading account (gross profit) and the profit and loss account (net profit). Key line: Sales – Cost of Sales = Gross Profit; Gross Profit – Expenses + Other Income = Net Profit.
The statement of financial position (balance sheet) presents assets, liabilities and equity on a single date. It follows the accounting equation.
Working capital = current assets – day-to-day funding buffer. A positive figure means the business can pay short-term bills.
Capital employed = total assets – rent assets + working capital. Think of it as the long-term money tied up in the business.
9. Depreciation & Provisions |
Depreciation spreads the cost of a non-current asset over its useful life, matching cost to periods that benefit. Two main methods: straight-line (equal charge each year, (Cost – Residual value) ÷ Useful life) and reducing balance (constant % on net book value).
Straight-line is just a flat line – the same amount year after year. Reducing balance is like a deflating balloon: it shrinks by a set percentage each time.
Provisions are amounts set aside for future liabilities or losses, such as provision for doubtful debts. The prudence concept requires us to recognise expected losses, not wins.
ble is definitely irrecoverable. Provision for doubtful debts is a yearly estimate (e.g. 5% of trade receivables). Remember: 'Bad debt = confirmed disaster, provision = rainy-day cover.'
10. Ratios & Analysis |
y ratios: gross profit margin (GP/Sales × 100) and net profit margin (NP/Sales × 100). Use 'GPS' for Gross Profit over Sales, 'NPS' for Net Profit over Sales.
Return on capital employed (ROCE) = Net profit before interest ÷ Capital employed × 100%. Say the word 'ROCK' – your capital employed should rock with good returns.
s. A figure around 2:1 is often considered safe. Quick ratio (acid test) = (Current assets – Inventory) ÷ Current liabilities. 'Kick inventory out' because it might not sell fast.
Credit purchases) × 365. Inventory turnover = Cost of sales ÷ Average inventory. Think of 'days to collect, days to pay, times stock spins.'
11. Common Confusions & Exam Traps |
Carriage inwards vs carriage outwards. Carriage inwards is the cost of bringing goods into the business – added to purchases in the trading account. Carriage outwards is the cost of delivering to customers – a selling expense. 'Inwards into cost, Outwards out as expense.'
Returns inwards (sales returns) vs returns outwards (purchases returns). Returns inwards come in from customers, reducing sales. Returns outwards go out to suppliers, reducing purchases. Visualise a boomerang: in back to you, out away from you.
Discount allowed vs discount received. Allowed is given to customers – an expense. Received is obtained from suppliers – an income. 'Allow = pay away; Receive = pocket in.'
Capital expenditure buys or improves non-current assets and is shown on the statement of financial position. Revenue expenditure pays for day-to-day
